Volunteer Opportunities
The band program quite literally can’t move forward without you and it’s a great way to know other band families and support your student. We are in the process of putting together our teams for this fall and we need you! Join us behind the scenes and support your child showcasing their love of music!
Some volunteer opportunities are just a few hours per month or a one-time event.
Time commitment estimates are included with each volunteer description. We can’t wait for you to join us!
Band Banquet Support
Time Commitment: 8-10 hours
When? Mid-October/November or when the Committee Chair contacts you. Most volunteer time is the week and day of the banquet.
If you enjoy… preparing and setting up for events?
Candy Grams
Time Commitment: 1-4 hours per shift
When? September through May (Concert nights and Thur. night or Sat. AM during MB)
If you enjoy…helping people find the perfect little gift, then this job is for you!
Car Wash Coordinator
Time Commitment: 8-10 hours for each of our two (2) car washes (two (2) locations)
When? Late spring and August
Must…love fresh air and clean cars. A big bonus if you enjoy washing cars!
Chaperones
Time Commitment: 10+ hours
When? Saturdays during Marching Band Season
Do you… want a front row seat to the fun and laughter your child has at the various events? Enjoy spending time with busloads of talented students?
Concessions Coordinator
Time Commitment: 2-6 hours per week of an event
When? One week in September, October, April, and May
If you enjoy…preparing to cook & serve lots of people, this role is perfect for you!
Equipment Pushers (for Front Ensemble Equipment)
The directors are looking for a consistent group of adults to handle these roles with a small backup group of adults if needed.
Time Commitment: Varies 3 to 10 hrs/wk
When? Marching Band Season (Friday Night Games & Saturday Competitions)
Do you…. want a front row seat to the fun during your child’s performance? If you have strong muscles and can keep up with the pace of the marching band on the move. Then this role is perfect for you!
Flower Sale Coordinator
Time Commitment: 12-20 hours
When? March-May
If you enjoy… flowers and getting your hands dirty, we have the perfect job for you!
Fundraising Support
This role assists the Fundraising Coordinator with sorting and distributing at pickup
Time Commitment: 2 hours per fundraiser
When? Monthly or as fundraisers are schedule, not required to do them all!
If you enjoy…sorting items by name and quantity? If you enjoy like to group things in alphabetical order? This might be your fit!
Possible duties include:
Grant Proposal Writer
Help research, write and submit grants for specific needs of the WSMB.
Time Commitment: Varies throughout the year 1-5 hours per week
When? Right Now! (but really all year long)
Helpful skills: Detailed, loves Google searches, enjoys the challenge of raising cash for a great music program!
The boosters need to explore new fundraising opportunities that include grants and corporate sponsors. There are lots of great creative ways to help individually from home or as a part of a small group. Our program cannot grow without lots of fundraising!
Graphic Designer
At times we need help with digital graphics. This is for just a few hours creating and tweaking graphics related to show logos, show shirts and senior banners.
Time Commitment: A few hours during marching band season
When? Mostly around the time of Mini Band Camp when big decisions are being made and details are being tweaked.
If you enjoy…. Digital designing, are picky about details and like to think outside the box. This might be for you!
Meat Sticks Coordinator
Time Commitment: 3-4 hours a week during MB season
When? Every Friday night during home football games (both CC and RL) as well as possibly during our Home Show (Saturday in September) and Regionals (we host on a Saturday in October)
Helpful if: friendly, love meeting new people, a natural sales person and enjoy conversation
Nursing/Medical
Time Commitment: 2-10 hours per week
When? Band Camp and other times as announced/needed
If you love…helping students who don’t feel well. Are you good at tracking down students who didn’t show up to take their prescription medicine? Are you able to carry a 25+ pound bag quickly to an injured or ill student? If you agree to follow HIPPA and protect students’ rights to privacy. This might be for you!
*This position also requires paper copies of current First Aid/CPR certifications.
(EMTs, Medics, Nurses, etc. are encouraged to volunteer with their current certifications.)
*This position requires that you must be mobile and able to quickly navigate busy areas.
Props
Time Commitment: Varies over the summer when props are being designed and built. During the marching band season, it is every Friday night and every Saturday competition.
When? Over the summer and the duration of the marching band season
If you enjoy…. working with tools, and see ideas come to life…this is for you! If you can’t build but you can setup and move props, this is for you!
*This position requires clearances.
Winter Wonderland Committee
Time Commitment:4-12 hours
When? Committee meetings in the fall during an evening band rehearsal and then the Friday night prior to the event and the day of the event (Saturday). The date will be determined by the Directors and the WSMB Executive Board, event is held in December.
If you enjoy… candy canes, decorating with holiday items, and all things winter wonderland…then this might be for you!
Restaurant Night Coordinator
Time Commitment: 1-5 hours per event
When? A few times throughout the year
Do you…. love win-win scenarios? Want to help support your child’s music passion but have limited time or an unpredictable schedule? This might be the perfect fit for you.
Sewing
Time Commitment: 1-2 hours
When? As needed during uniform fitting in July or August Band Camp
Do you want… to make sure the band looks their best? Have a sewing machine (portable preferred)? Love to hand sew? This is for you!
Sponsorship Coordinator
Time Commitment: It’s up to you!
When? Right Now!
Do you… have a ton of friends? Know business owners? Know someone, who knows someone, who knows someone’s Aunt Martha? Then you are perfect for this role!
We need help to find businesses or individuals who would like to help support West Shore’s Music Program. Help us contact local businesses and share our Sponsorship options with them. We need help obtaining sponsors to help fund big ticket items like judge fees, food, and equipment rentals in exchange for ad space on signage, advertising, social media and the website. Full details of sponsorship program are on the website.
Trucks
Time Commitment: 10-12+ hours on competition Saturdays
When? During marching band season and special events (i.e. parades)
If you… feel comfortable driving a truck and heavy trailer through congested traffic, narrow streets and busy parking lots. You are perfect for this role! Are you able to help load and unload tons of props, instruments and other equipment? If you can’t drive but can do the rest and be a navigator. This might be for you!
*Driving positions require clearances as well as completed WSSD transportation paperwork. *Navigator positions require clearances, but not the WSSD transportation paperwork.
Uniform Washing
Directions for cleaning will be supplied. This often must be completed over a weekend and you must be willing to follow the washing instructions exactly. Volunteers are asked to supply their own laundry detergent as per the cleaning directions (must be fragrance free laundry soap and dryer sheets). Most of the uniform must be air dried, so you must have the time to devote to the entire cleaning process.
Time Commitment: 6-8 hours depending on the number of uniforms being washed
When? 2-3 times per marching band season (at the direction of WSMB Directors)
If you want… the marching band to look their best and enjoy the smell of clean laundry. Love the challenge of getting a spot out of clothing? This might be for you!

- Riding the bus to and from competitions
- Making sure students stay hydrated
- Taking care of any illnesses until they can see the First Aid person
- Assist with “plumes”, snaps, zippers on uniforms
- Anything else that may suddenly arise before a competition
- Could include pushing equipment, carrying a chaperone bag, and other duties as needed
Concessions Coordinator
Time Commitment: 2-6 hours per week of an event
When? One week in September, October, April, and May

- Coordinate the dates given to you by the WSMB Executive Board with the bank
- Contacting and contracting with a flower supplier
- Requesting any equipment that might be needed from the WSMB (i.e. folding tables, trucks, canopies, etc.)
- Coordinate advertising with the social media team
- Create and/or update an electronic signup to request and schedule volunteers and supplies
- Set-up/clean-up with the students’ help
- Work directly with the students and other parent volunteers
- Replenish existing supplies

- Willingness to send out lots of proposals even though you may think there is only a slim chance of your proposal being granted

- Roll sales cart into the stadium and set up at a predetermined location
- Create an electronic signup for adult volunteers to help
- Help sell the meat sticks during the games/ competitions
- Return the sales cart to the chaperone closet in the CC Band Room
Nursing/Medical
Time Commitment: 2-10 hours per week
When? Band Camp and other times as announced/needed

- Administering both prescription and nonprescription medications
- Cleaning up body fluids (i.e. bloody noses, vomit, etc.)

- Potentially creating an event flyer
- Distributing event flyers (local libraries, grocery stores, gas stations, etc.)

- Set up and decorating on Friday night
- Cooking/ serving breakfast
- Helping with activities for young guests (i.e. coloring table, craft table, etc.)
- Collecting prepaid tickets
- Clean up after the event
Restaurant Night Coordinator
Time Commitment: 1-5 hours per event
When? A few times throughout the year
Do you…. love win-win scenarios? Want to help support your child’s music passion but have limited time or an unpredictable schedule? This might be the perfect fit for you.
- Arranging with local restaurants to host a night where they give back on a predetermined day/ evening (this is typically a % of their sales at that time)
- Research restaurants that offer this fundraiser
- Share the restaurants with the executive board
- Coordinate with the restaurant on timing and details
- Create flyers to distribute and help promote the event
- Coordinate advertising with the social media team
- Be on-site during the event
- Write a thank you note to the restaurant for their support of WSMB
Sewing
Time Commitment: 1-2 hours
When? As needed during uniform fitting in July or August Band Camp
Do you want… to make sure the band looks their best? Have a sewing machine (portable preferred)? Love to hand sew? This is for you!
- Hemming any part of the uniform
- Fixing snaps on pant legs
- Fixing stuck or split zippers
- Fix torn edges on Color Guard flags
- Sew props (Color Guard flags or other props)

- Determine with the Executive Board who you will be approaching so that we can avoid any conflicts.
- Use WSMB letterhead to send letters or emails.
- Be specific in asking someone to sponsor an item or event (i.e. we need a new trailer to haul equipment, we need new sound equipment, we need to pay judges who are assigned to large competitions we are hosting, etc.)
- Follow-up with potential donors
- Write thank you letters for any support/funding we receive
- Report back to the WSMB Executive Board as soon as you hear if someone is willing to support us and if so the financial donation and what it is to be used for as well as if support was denied and if they gave a reason.
